DESCRIPTION:
The Brand Team Coordinator provides essential administrative and organisational support to the Brand Team, ensuring the smooth execution of projects, meetings, and brand initiatives. This role involves supporting senior leadership with their daily activities, diary management, coordinating various team functions, managing events, and helping the team stay organised and aligned with business priorities. The Brand Team Coordinator is the key point of contact for internal and external business matters, contributing to the overall success and efficiency of the Brand Team.
WHAT THIS ROLE DOES:
Administrative Support
- Provide comprehensive administrative support to the Brand Team, including calendar and diary management and meeting coordination.
- Organise internal and external meetings, including status updates, project reviews, and strategic sessions.
- Manage confidential and sensitive information, maintaining a well-organised filing system.
- Arrange travel itineraries, including flights, ground transport, and hotel bookings for senior leaders.
- Submit expense reports and maintain accurate records for the Brand Team.
Event & Conference Coordination
- Coordinate and execute high-standard branded events, including internal conferences and retailer strategy meetings, ensuring they are within budget.
- Assist with preparing presentations, collating materials, and ensuring smooth event execution.
- Collaborate with other teams to organise and facilitate events, meetings, and promotional activities.
- Support the development and implementation of brand conferences, team events, and roundtable meetings with global offices.
Cross-functional Coordination
- Act as the point of contact for internal and external stakeholders on behalf of the Brand Team, ensuring timely and effective communication.
- Foster collaborative relationships with cross-functional departments such as Sales, Marketing, HR, Finance, and Supply Chain to ensure alignment and smooth operations.
- Manage and respond to requests from other departments, ensuring the Brand Team’s objectives are prioritised and communicated clearly.
Project Management & Support
- Assist with the execution of key brand projects, including promotional activities, campaigns, and new initiatives.
- Support with the development and management of schedules, ensuring deadlines and targets are met.
- Provide ongoing support for product launches, coordinating logistics, and overseeing timelines to ensure successful rollouts.
- Collaborate with the team on ad-hoc tasks as required to maintain operational excellence.
WHAT YOU WILL NEED TO BE SUCCESFUL IN THIS ROLE:
- Strong organisational and time-management skills, with the ability to prioritise multiple tasks in a fast-paced environment.
- Excellent communication skills, both written and verbal, and the ability to build strong relationships with internal and external stakeholders.
- Proficiency in Microsoft Office (Excel, PowerPoint, Word); experience with project management or collaboration tools is a plus.
- Event coordination experience and the ability to manage logistics and deadlines for various projects.
- High attention to detail, ensuring all administrative tasks are completed efficiently and accurately.
- A proactive, flexible, and team-oriented mindset with the ability to adapt to changing priorities.
QUALIFICATIONS:
- Proven experience in a coordination, administrative, or support role, ideally within a brand or retail environment.
- Experience in event management and project support is beneficial.
- Knowledge of the beauty, cosmetics, or luxury industries is a plus but not required.
- Strong interpersonal skills with the ability to work effectively within a team and across various functions.
