The world of examinations is highly regulated. Over 9 million papers are sat by students in the UK and internationally each year. Protecting the integrity of those exams is essential to ensuring confidence in the system and in the grades achieved by students.
As an Exams Integrity Administrator, you will provide essential administrative support to ensure the fair and smooth delivery of exam processes. You will be a first point of contact for our customers and handle queries from multiple inboxes, log and set up malpractice and appeals cases, support meetings and contribute to updating process documentation, all in line with established guidance and deadlines. You will work in a fast-paced environment that values accuracy, confidentiality and clear communication.
What do I need to be successful?
- Clear and accurate written communication, with strong attention to detail
- A good working knowledge of Microsoft Outlook, Word and Excel
- Experience in a customer service or support role (desirable)
- Ability to manage a varied workload and maintain accuracy in a busy environment
- A collaborative approach, with a willingness to build effective working relationships and learn as you go
- Familiarity with regulatory, legal, education or exams settings (beneficial but not essential)
- Experience using CRM systems, particularly Microsoft Dynamics, would be an advantage

Summary
As an administrator, the main purpose of your role is to support members of the Exams Integrity team by providing administrative support across all areas of EI work, from case set-up to completion and anything in between. The work of the team is varied, covering malpractice cases, very late arrivals, any type of appeal and safeguarding. That means the administrative work is varied too. In peak delivery periods, you will be supported by additional seasonal administrators.
Working as a part of the workforce planning team, over the summer you will likely be largely supporting on malpractice case set-ups, whilst in the autumn you will likely be more involved in providing appeals support but flexibility will be key, depending on where there is most need. You will work regularly with various Microsoft packages, including Outlook, Dynamics and Word.Landscape
Exams Integrity is a team of 24 which roughly doubles in size during its peak delivery period in the summer. The Administrator role reports to the Workforce Planning Manager and will be involved in all aspects of Exams Integrity work. The role is key to ensuring the smooth and effective delivery of work within the team.
During peak times, the volume of incoming and ongoing work will be high and will require high levels of organisation and work management.
Activities
Set cases up according to the agreed written guidance and training and in accordance with agreed time and quality criteria.
Respond to straightforward inbox or other queries coming into the team.
Administer incoming post in accordance with the written process and in a timely manner.
Support members of the team to set-up face-to-face or remote meetings, including for formal appeal hearings, liaising with external participants as required.
Support members of the team to progress transcriptions with the external provider and to ensure claims arising from casework (eg, associate claims) are progressed according to the AQA process.
Provide administrative support for all types of appeal cases, including accurate logging of appeals and sending acknowledgement letters.
Provide administrative support for the estimations process.
Provide any other administrative support required across the team and as agreed between the exams integrity managers.
Ensure AQA is safe and legally compliant by applying AQA’s policies and other legislative requirements and keeping records, files, reports and documentation secure, accurate and up-to-date in line with GDPR regulations and company policy.
Undertake any other tasks commensurate with the role

Some experience of working in a regulatory, legal or education/exams environment preferred

Good written communication skills with attention to detail and accuracy
Open to giving and receiving feedback and committed to improving self and working practices
