The Administrative Assistant will provide a welcoming environment for internal staff and external vendors and clients, assist in day to day office administration duties, and provide support to other departments as requested.
Requirements
- Answer and direct all incoming calls
- Greet and direct all visitors/Interviews/vendors
- Oversee incoming and outgoing correspondence (Mail, UPS, FedEx, Courier)
- Maintain tracking system for all incoming/outgoing packages
- Perform general clerical duties including but not limited to: photocopying, faxing, filing as requested
- Maintain an adequate inventory of office and break room supplies
- Assist with coordinating repairs and maintenance of office equipment
- Assists with booking travel and preparing expense reports as requested
- Assist with catering and organizing company events/meeting
- Assist in electronic delivery of confidential and time-sensitive documents
- Assist with onboarding new employees including issuing security badges, working with landlord for building badges, and following all photo requirements
- Maintain administrative reports/logs as required
- Prepare project binders and other deliverables as requested
- Act as Safety Monitor for office and assist in the event of an emergency
- Perform other duties as assigned
Requirements
- Minimum of 2-3 years’ experience as Administrative Assistant
- Experience with MS Word, Excel and PowerPoint
- Experience working in a project focused environment
- Professional verbal and written communication skills
- Self-motivated and resourceful, proven ability to multi-task and operate successfully under tight deadlines
- Enjoys fast-paced, dynamic and challenging environment that focuses on a team oriented approach
- Great interpersonal and communication skills
- Demonstrates flexibility, accountability, and reliability
